Nexcubator · a product from Aitina Tech

Your software is not the problem. The process between it is.

Nobody buys a bad tool on purpose. Every app you run made sense on the day you bought it. What nobody bought, and what nobody owns, is the space between them: the re-typing, the overnight syncs, the exports, the person who has to remember.

Nexcubator solves this naturally. Every business process runs from start to finish in one place, whether that is hiring someone, quoting a job, tracking hours, managing tasks, keeping the calendar, sending the invoice or running payroll. Each step picks up where the last one left off. Nothing needs to be connected, synced or typed in again. And a built-in AI assistant does most of the work for you, so it is simple and easy to use.

What it actually looks like

A dozen products, and a dozen gaps holding them together.

Replacing one app with a better app moves the gap. It does not close it. The only thing that closes it is the work living in one place to begin with.

Todaya dozen products, and a dozen gaps holding them together
Messaging Scheduling Hiring Pay runs Time recording Customer records Issues & support Document store Projects Notes & drafts People files Bookkeeping

Six problems we hear from nearly every business. Each red mark is a hand-off, a place where a person, a spreadsheet or a nightly script has to carry something across. Take the gaps away and most of your integration work stops existing.

Where it shows up

You do not see the fragmentation. You see what it costs.

The same details typed into four apps And three of them spell the name differently, so nobody is sure which one is right.
The apps are wired together, and wires break Somebody set the syncs up years ago. When one stops, it stops quietly. You find out when a customer tells you.
You learn if a job made money a month late Hours in one place, rates in a spreadsheet, costs in a third. By the time it is added up the job is three weeks further over budget.
A simple question takes a week to answer “Which jobs are losing money, and who is on them?” That answer sits in five systems, none of which can see the other four.
A new hire takes two days to set up Staff records, the pay run, the folders, the laptop, the first day. Every hire, every time, by hand.
Staff records break when people join or leave No app holds the full list, so nobody can check it was done. New starters wait for access, and leavers keep it.
How the unified platform works

Type it once. Everywhere else already knows.

Somebody’s hourly rate goes from €62 to €68. In most companies you now have to remember every other place that number is written down. Here you change it once, and everything that reads it is already right.

1

Nothing is ever copied

Each person, customer, job, hour and bill is written down once. Pay, job costs, reviews and the org chart all read that same entry, so there is never a second version somebody forgot to update.

2

It knows what is waiting on what

Most software stores things. This also knows where a job has got to and who is holding it up, so it can tell you a bill is stuck this week, rather than you discovering it at month end.

3

An assistant that can see all of it at once

Ask in normal words and get an answer in seconds, with the records it came from. It drafts the quote, chases the timesheet holding up a bill, and warns you about a job heading over budget before it gets there.

4

You still choose who sees what

Permissions sit on the information, not on the app. Letting a manager see their team’s work does not mean showing them everyone’s pay. When access is taken away it is gone everywhere, straight away.

Why this matters now

An assistant is only as good as what it is allowed to see.

This is the part that does not work in a dozen products. An agent wired into one app can answer questions about that app. Ask it the question a business actually asks: which jobs are losing money, and who is on them? The answer lives in seven places at once. Where the work is already in one place the agent can do the whole loop: read everything, answer, prepare what comes next, stop at a person, and write down what happened.

A question, or something that just happened

“Which jobs are going to lose money this quarter, and who is working on them?”

✓Written down, onceInto the same history as everything a person does.

It warns you before, not after

A job heading over budget, a renewal coming up, an approval nobody has looked at. You find out while it can still be changed, rather than at month end.

It does the first draft

The quote, the job advert, the review, the update to a customer. A draft on the right record, with the right numbers already in it, waiting for you to change your mind about the wording.

It chases the boring things

Unapproved timesheets, missing hours, the renewal nobody diaried. The chasing happens without a person having to remember that it should.

It shows its working

Every answer names what it read to get there, so you can check it rather than trust it. Everything it does is written into the same history as everything a person does.

People decide. It suggests and prepares. Anything that spends money, sends something out or touches somebody’s personal details waits for a person to say yes. And your information is not used to train anything. Not for us, not for anyone else.

What it covers

One platform, the parts of the business that keep drifting apart.

Not eleven products with connectors between them. Eleven parts of the same record, inside one boundary.

Nothing to link up inside

The integrations that are left all point outwards: your bank, card payments, the payroll bureau, tax filing, email and calendar. Those come with it.

Fewer places to be broken into

Every link between two apps means a stored password, a key that never expires and another copy of your staff’s details on somebody else’s computer. Remove the links and all three go away.

A subject access request in a search

Across twelve apps, answering “what do you hold on me?” is two weeks of exports and a quiet hope. In one place it is a search, a button, and a record you can show.

Why we built it

An integration consultancy got tired of solving this one client at a time.

The same job, over and over

Aitina Tech has spent years joining other people’s systems together. The integration is never the interesting part. It is a tax on having bought the software separately in the first place.

Built on the research we publish

The architecture comes out of our own work on agentic systems, written up openly in The Software Lens rather than kept as a sales story.

It is also the experiment

We run our own business on it. The roadmap comes from production use, not from a feature grid drawn up in a workshop.

Start with the part that annoys you most.

You do not have to move the whole business to find out whether this is right. Pick the process that costs you the most time this month, and we will tell you honestly whether Nexcubator is the answer or whether you have a cheaper problem to fix first.
